Major update in Vaylo — waiting list, clearer roles in booking and smarter search

March 4, 2026

This release is one of our most comprehensive updates to date.

We are strengthening the booking flow, improving the widget, introducing waitlist functionality and creating a clearer structure between customer and traveler. At the same time, we have improved search capabilities, synchronization and administrative control over email and data.

Here's what's new.

New waiting list feature — capture demand even when the tour is full

When a tour is fully booked, the customer can now put themselves on a waiting list.

Waiting List Reservations:

  • Does not consume allotments
  • Clearly visible in the admin panel
  • Can be converted to real booking when seats are released
  • Displays as a separate status in the booking list

The calendar displays a Waitlist button instead of “Book”.

This means:

✔ You don't lose business on fully booked tours

✔ You can quickly fill cancelled seats

✔ You get better visibility into actual demand

✔ Less manual handling outside the system

Separate customer and main traveler

Now is Client (booking manager) and Primary Passenger (Primarni prijatelj) two separate roles in all booking flows.

It implies:

✔ The booking manager does not have to travel by himself

✔ Clear separation between financial responsibility and travel participation

✔ A uniform structure in all booking types (Tour, FIT, Yacht, Widget, Allotment)

Improved hotel management in manual segments

When you add hotels manually, you can now:

✔️ Search directly in the hotel inventory

✔️ Using hotels without allotment (request hotels)

✔️ Get automatically with images, facilities and language support in the customer portal

✔️ Choose from multiple providers

This makes manual settings much more efficient.

Smarter search functions in the booking list

You can now search on:

✔️ Invoice number (both Draft and Issued)

✔️ Project number

This is especially valuable for the finance department and larger organizations.

You will find the right booking instantly — without manual review.

Improved email control

Now you can choose to send email only to the main customer instead of all travelers.

Perfect for:

The main customer is then responsible for sharing information further.

Reactivate canceled quotes

Previously, you needed to create a new quote if the customer came back.

Now you can:

New title management for FIT

You can now set a custom title for FIT bookings.

If no title is specified, the name of the main customer is automatically used.

The title appears consistently in:

✔️ Quotation

✔️ Confirmation

✔️ Customer portal

Search for tags in Tour Administration

When you have a lot of tags, you can now search directly in the dropdown menu instead of scrolling.

Over the past few weeks, we've launched a new update to Vaylo that focuses on one thing: making your everyday life easier. This update improves the way you manage tours, FIT bookings, billing and customer communications — while making the customer portal clearer and more consistent for your travelers.

Here's what's new.

Guides can now update their own profiles

We make it easier to delegate responsibility.

Guides can now update their profile information themselves, reducing administration and providing more flexibility in the organization.

Clearer hotel information in the customer portal

Check-in and check-out times are now displayed only if the information is actually registered.

This means your travelers don't see empty or misleading fields — and get a more professional experience.

Improved payment reference in Vaylo Pay

We have updated how payment credentials appear in Vaylo Pay links.

Instead of a technical ID, a clearer Vaylo reference is now displayed, creating better overview and easier reconciliation.

Streamlined invoicing

We have made several improvements to the invoice flow:

  • The invoice line “transport cost deducted” is automatically hidden when the amount is 0.
  • The flight segment name can now be used as invoice text — and edited if necessary.

It provides cleaner invoices and better control over how costs are presented.

Smarter date logic in FIT bookings

Return dates in FIT bookings are now automatically based on the most recent segment of the itinerary.

This means that the total length of the trip is always displayed correctly — even when changes are made to individual segments.

Improved search function in the tour list

We have improved the search parameters in the tour list so that you can find the right tour faster.

Less clicks. Less scroll. More control.

Cleaner cost presentation in the customer portal

We have adjusted the layout in the cost breakdown for better readability.

For FIT bookings, we have also chosen to hide the details section and instead show a clear total row. It provides a more consistent and easy to understand presentation for the end customer.

Internal notes directly in Tour Basics

You can now add internal free text notes directly to the basic tasks of the tour.

Ideal for operational information that should not be visible to the customer — but needs to be collected and easily accessible to the team.

Small improvements that make a big difference

In addition to this, we have made several adjustments to the user interface:

  • Tooltips that provide better guidance in e.g. Yachts and Pricing
  • Improved formatting in the customer portal
  • Increased stability and consistency in workflows

This update makes it easier to create packages, gives you better control over language management, and introduces an updated booking widget with an improved user experience.

Create packages directly from existing segments

You can now create a package directly based on existing segments in a booking — like flights, hotels, and other parts of the itinerary.

This means that you:

This is especially valuable for organizers who work with both ready-made packages and tailor-made arrangements.

Improved language management in the customer portal

The customer portal now follows the language chosen by the administrator in the system.

As part of the update, we've also tweaked the language support to ensure a more controlled and clear structure.

Update in Vaylo - better control in FIT bookings and faster navigation

We have launched a new update in Vaylo focusing on precision, flexibility and more efficient workflows. This release improves the way FIT bookings are handled, ensures more consistent payment logic, and makes it easier to quickly find back to bookings you've recently worked on.

Here's what's new.

More control over return dates in FIT bookings

Previously, return dates in a FIT booking could be updated automatically when segments were removed from the itinerary.

Now we have removed the automatic update.

This means that:

✔ Return date does not change accidentally

✔ You have full control over the time frame of the trip

✔ The risk of errors is reduced

A small change -- but important for the precision of tailor-made travel.

Improved management of payment deadlines

We've fixed how dynamic payments are handled in FIT bookings.

Payment due dates are now consistently controlled by system configuration. At the same time, if necessary, you can adjust the deadline of the final payment manually.

It gives you:

✔ Fewer deviations

✔ Greater flexibility when the situation requires it

The result is a more stable and predictable payment processing

New tab: “Last Viewed” — faster return to the correct booking

We have added a new tab to the booking view: Last Viewed.

Here you will find the reservations you have recently opened — ideal when switching between multiple errands.

Update in Vaylo - better hotel management and increased precision in FIT

This update focuses on something that really impacts your day-to-day operations: room allocation and improved management in the FIT feed. We've improved both the user experience and the logic behind the system — to reduce errors, increase control, and speed up work.

Here's what's new.

Easier management of allotments

You can now enter the number of rooms directly as numbers — both for individual dates and for bulk updates.

It means:

✔ Faster updates

✔ Fewer Clicks

✔ Less risk of errors

We have also updated the “Open Hotel Inventory” button to exclude return dates, ensuring that the correct date range is used.

Improved bulk update of hotel allotments

The hotel room bulk update interface has received a UX/UI update.

The result:

✔ Clearer view

✔ More efficient handling of larger date ranges

✔ Less chance of mistakes

For those who work a lot with hotel allotments, this makes a big difference in everyday life.

Stronger validation when adding accommodation

We've added extra validation when accommodations are added to a ride.

It reduces the risk of:

  • Incomplete hotel information
  • Faulty couplings
  • Inconsistent data

As a consequence, hotel allocation for one-day tours has been adjusted to ensure proper logic.

Improved stability of FIT bookings

Several key improvements have been made to the FIT feed:

✔ Proper handling of due amounts

We have fixed an issue where due amounts could be displayed incorrectly after financial line segments were deleted.

✔ Clearer error message at payment date

The payment validation error message has been updated to be more informative and useful.

✔ Less complexity in tailor-made bookings

The “Supplements” section is now hidden in the FIT itinerary to reduce unnecessary complexity.

More stable vendor management in the travel plan tab

We've fixed several improvements in the itinerary view:

  • Provider name and type are now displayed correctly in the Connected Itineraries modal
  • An error that occurred when removing vendor type in the “Others” segment is now resolved
  • The “Type” field is now mandatory to ensure data quality

This update focuses on three things that are crucial in your everyday life: improvements in itinerary management, clearer booking data and consistent financial management.

We've improved how financial lines are handled in the itinerary, made it easier to duplicate segments, and ensured better consistency between documents and payments.

Here's what's new.

Financial lines directly in the itinerary

All gathered where the work actually takes place.

You can now work with financial lines directly in the itinerary.

✔ Better control over margins and costs

It implies:

✔ More accurate financial overview

✔ Clearer link between segment and economy

Duplicate segments in the itinerary

We have added a new feature: Duplicate Segments.

When you manually add segments, you can now duplicate them with one click.

All information is copied — such as date, vendor, location and quotations — while financial lines are excluded.

It means:

✔ Faster work

✔ Less manual repeating

✔ Fewer errors

Ideal when building similar layouts in the same booking.

Synchronization of voucher and payout dates

We have fixed an issue where the payment date did not always match the date the voucher was sent.

Now these dates are in sync.

It creates:

✔ Better financial consistency

✔ Clearer traceability

✔ Less risk of deviations

Improved booking creation

Previously, some fields could be missing when a booking was created based on a trip.

That is now fixed.

All relevant fields are displayed correctly when you create a new booking — providing a more consistent and complete process.

Enhanced PDF presentation

We have made several improvements to Booking PDF:

  • Better formatting of PNR passenger information in flight segments
  • Fixed line break issues in FIT bookings (such as “Units” and “Total payable amount”)
  • Adjusted column widths for better readability

It provides a more professional and clear presentation towards customer.
